Frequently Asked Questions

Can the Springfield College Museum be reserved for events?

The Springfield College Museum is available to College departments, alumni, and outside groups for meetings, exhibits, receptions, and similar events.

Departments within Springfield College may reserve the Museum by contacting Library Services Administrative Assistant Jill Pietrantonio at jpietrantonio@springfield.edu or 413-748-3308. Reservations must be made at least two weeks in advance.

Alumni and outside groups may reserve the Museum by contacting the Office of Conferences and Special Events at 413-748-5287. There may be a charge for use of the space.

How large a group does the Museum accommodate?

The Museum holds around 100 people in a stand-up reception-style event. Permanent museum exhibit cases are positioned centrally, which make sit-down events more complicated and limits room capacity.

How do groups arrange for furnishings, media needs, and food?

College Departments: Once the space has been reserved, users are responsible for making arrangements for other services. Please make sure to schedule clean up or breakdown of delivered items to take place immediately following the event.

  • Furniture delivery and set up: All furniture for the event, including tables, chairs, bistro tables, and food service tables, can be requested via a Facilities work request.

  • Media: there is no built-in sound or projection system in the Museum. Podiums, laptops, data projection, screens, PA systems, speakers, and other audio/visual equipment can be requested by submitting a job ticket to Media Services.

  • Refreshments: All refreshments should be ordered via on-campus Aramark catering.

Alumni and outside groups: The Office of Conferences and Special Events will arrange all facility, media, and food requests for events.

How do I access the Museum before and lock it up after an event?

During non-open hours, the Museum must be accessed with a key and security code. Facilities, Aramark, Campus Security, Library Services administration, and some college departments have this access. Access can be prearranged with Library Services administration if needed; in addition, Campus Safety is available 24/7 to open and secure the Museum outside of regular college business hours by calling 413-748-3516.
