GSR - Step 8: Close Out Grant
Post-Award Support Services
The Controller’s office and the Office of Grants and Sponsored Research (GSR) will provide post-award support services to assist project investigators in closing out their grant award when all required work of the grant has been completed.
- If you do not seek a supplemental grant or a no-cost extension on the completion date, the grant is closed out.
- The grant close-out between the sponsor and Springfield College requires continuous communication and feedback. It is the responsibility of the sponsor to notify the project investigator and Springfield College in writing before the end of the grant project period of the required final reports (programmatic and financial), the dates by which they must be received, and where they must be submitted.
- It is the project investigator and Springfield College's responsibility to adhere to all the grant close-out requirements, including final reports, ownership, account settlement, and recordkeeping.
Close-out procedures may differ according to the sponsor’s conditions but, in general, the following requirements are typical for closing out a federal grant award:
- Submitting all financial, performance, and other reports as required by the terms and conditions of the award. With federal awards this is no later than 120 calendar days after the end date of the period of performance.
- If you are a subrecipient of a federal grant all financial, performance, and other reports as required by the terms and conditions of the Federal award must be submitted within 90 calendar days.
- Records for a federal grant must be maintained for at least three years from the close-out date.
